Many employees who are covered through Delta Dental of Washington (formerly Washington Dental) or Willamette Dental have not entered their dependent family member information in Employee Online. As a result, many dependents are being denied dental services because the dependents are not included on the electronic enrollment reports submitted by the district to AonHewitt (the third-party administrators for WEA) on a monthly basis. In the past, if a dependent was enrolled at any point, they continued to be enrolled even if the employee moved to a different district, divorce occurred, etc. even though the district was not reporting that they should continue to be covered. As the district works with AonHewitt to clear up these issues, it has become apparent that there are many employees who have not entered dependent information into Employee Online and may not be covered for dental care.
It is imperative for all employees who want their spouses, domestic partners and/or children under the age of 26 to be covered for dental coverage to verify that their dependent information is entered into Employee Online by October 15, 2014.
To verify that dependent family members are enrolled in Employee Online
· Go to Employee Online and click on Dependent Coverages (blue menu box on the left side of the screen) . Dependents who are covered should be listed and a check in each box in which they have been enrolled. If all dependents are listed corrected no further action is necessary.
To enter dependent information in Employee Online, if they are not listed:
· Go to Employee Online and click on Dependents (blue menu box on the left side of the screen) under Benefits and complete the information to add the new dependent – when complete click on
SAVE
(bottom right of the screen). Repeat process to add additional dependents.
· Click on Dental , and then on the current dental plan you have.
· Under New Change Request put a check in the box next to the new dependent ’s name. You ’ll need to choose a reason under Change Events —we suggest “dependent status change ” -- when complete click on
SAVE
(bottom right of the screen).
· You will receive a confirmation email and the changes will show as pending until approved by benefits staff.
· When approved by benefits staff you will receive an email confirming your change has been approved.
Verify dependent enrollment by October 15 to avoid interruption in dental coverage for dependents.
